Creating Custom Live Events

Introduction

Custom Live events allow us to stream to a select audience, who are not required to sign up to the main Asset TV/Insure TV website. They are presented on a different URL to the main sites (live.asset.tv/live.insuretv.com/live.assettv.com). As well as the usual Asset TV Live Event features, Custom Events allow you to use only the client’s branding for the event and record details of viewers without forcing them to register for Asset TV.

Please note, the below guide mainly references Asset TV platforms, but the process is identical for Insure TV events too.

Creating the registration form

IMPORTANT!

When creating your registration form (either via cloning an existing one or creating a new one) you must make sure the EMAIL and COMPANY form keys are always 'email' and 'company'. You can always change the label, but the form key MUST remain as mentioned otherwise viewing data cannot be recorded against the appropriate user.

There are two steps to creating your client’s Event Registration page. The first step is to create a Webform requesting the information the client wants to get from their viewers.

This guide focuses on cloning an existing Webform to use on your event. See the How to make a webform guide.

Cloning an existing webform

Filter the Content tab in Hydra/Titan to show you webforms and select a webform to replicate and click on the ‘Clone’ option
A screen will ask you to confirm that you wish to clone the selected form, and you can simply click yes.
This will take you to the Webform node form with all the details in place for your form, you simply need to rename it (the system will autofill the title with ‘clone of [original name]’). Ensure it is being published to Asset TV Live and click save.
Once saved, if you wish to edit the form's content (add, remove or reorder) click to edit the webform node and select the Webform tab.
This will display the existing questions with options to edit. Please refer to the How to make a webform guide for help on setting up form elements.
Once updated click save and proceed to creating your event.

Creating your Live Event / Registration page

The Custom Event content type will create both one page for registration and the event stream. Once registered users will be taken to the player page.

Note

Please note, there will now appear an extra field on this page for selecting another Webform called Live Questionnaire Webform. Please do not use this when creating a Custom Event as it is specifically for Virtual AGM meetings.

From the Add Content menu select Custom Event
Title field will set the title of the event and be used as part of the final URL
Event Webform is to link the form you created for the event. The field will autocomplete once you start typing.

Danger

Never use the same form on different events. The data collected will be collated into one list and there will be no way to differentiate which user registered on which event page.

Logo field allows you to upload the a logo to be used in the header of the event and registration pages.
Event Date should be set as the broadcast date and time of the event. This creates a countdown clock if users access the page before the event has started.
Dial in Phone can be used to enter a number if users can dial in to listen. On the event page this will then appear in a pop up when users click the phone icon. If you leave the dial in details field blank the button will not appear on your event page.
Main Colour sets the header background colour and the colour of the ‘Register’ button on the form. You can enter the hex code of your client’s desired colour when setting this.
Domain Access Options your event should be published to Asset TV Live or your event URL won’t be accessible.
Header Banner allows you to upload a banner to appear at the top of the registration form.
Video is used to place the player for the event. This will most likely be an embed code from Vimeo, but the field has been configured to allow any player to be embedded using a full embed code supplied by the player provider.
Description text entered here will appear below the player and HTML tags can be used to style this as required.
Event Questions will switch on and off the Questions tab for the event.
Additional Resources you can enter text using HTML tags to style and create links. When text is added to this field an ‘Additional Resources’ tab will appear beneath the event player displaying your HTML.
Footer text allows you to set the footer specific to your client and like the description field you can enter HTML tags to style this and add links if required.
Welcome Email lets you set up a text based automatic email to be sent to registrants as confirmation that they have registered successfully.

When your Custom Event is saved your registration and event pages is ready to go. Accessed the URL in incognito (so you are not logged in with your admin account) you can check that the form and player display as intended so you can adjust any settings as required.

Using a Premier Video Instead of a Live Stream

Instead of streaming a video live, the Premier video feature allows a pre-recorded video to be streamed like a live. First you’ll need to create a Premier Video using this guide:

Creating an Asset TV Premier Video

Once that is complete you’ll need to make a few modifications to get the premier video into the custom live event.

First you’ll need to edit the video again and make sure it’s added to the appropriate site player for the custom live event it belongs to, such as masterclass live.
Make sure the video has allow embed checked.
Next you need to obtain the embed code for the video; essentially we’re going to use this embed instead of the one normally by vimeo.
- Go to Structure > Taxonomy.
- Select list items next to Sites.
- Scroll down to the Site Player you used in the video and click edit.
- Select the Content tab.
- Find the appropriate video.
- Grab the iframe embed code.
Once you have this you add this into the Video field mentioned in the previous section to complete the Custom Live Event.

Admin tools before, during and after the event

To manage your event once created you should navigate to the Custom Events tab from the Dashboard in Hydra/Titan.

On this page you will see a list of the Custom Events that have been created in Hydra/Titan.

The options on this page will be useful at all stages of your event.

Before

Before your event you can check and download a list of users who have registered by clicking on View or Download options under the Viewers column. This will list all the information they’ve been asked to complete on your Webform including things like ‘Ask a Question’.

During

During the event you can check the viewers who are logged in to your event.

You can also administer the questions for the host of the show.

The Admin view under Teleprompter will show you a list of questions submitted via the event page. This automatically refreshes every 10 seconds so questions come in as quickly as possible.

If there are more questions that anticipated coming in and you need to pause the refresh feature to take stock simply click on any of the questions. This will pause the feature until you click the question again to deselect it.

The View link for the questions does not require the user to have admin access to Hydra/Titan. This looks similar to the Admin view without the link to remove the question. This page refreshes every 60 seconds which gives the admin view the chance to filter questions appropriately for the event host (i.e. remove any technical questions viewers may have submitted)

After

After the event you can download a list of the viewers. This is a record of everyone who logged in during the event and can be used to upload MI and CPD/CE records to the system (N.B. if uploading MI, if users aren’t registered for ATV their views in the system will record them as anonymous).

The Teleprompter CSV allows you to download a complete record of questions submitted during the event (this will include any of the questions that were removed via the Admin screen during the event).
