Team CPD/CE Adding Members & Managers

Introduction

Once a CPD/CE Team has been set up, you may need to initially add members and managers to the team.

Managers, as the name suggests manage who is on the team and the team playlists. They can see all the statistics relating to that team and can view team members CPD/CE Statements. A Manager does not need to be a member of a team to manage it.

Members, belong to a team and only have access to the playlists assigned to the team. They cannot see anything beyond that. They can find the team playlists in the My CPD section of their User Dashboard.

Instructions

Adding a member to a team

If a Team CPD/CE client asks for a user to be added to their team as a member, the first step should be to direct them to the "Administration" tab under their Team CPD pages.

From here they can issue an invitation themselves and when the user clicks the link in the invitation they are automatically added to the team. If the user has not registered for Asset TV the invitation is still an option as they will be prompted to register when they click to accept the invitation, and once registered and approved will automatically be added to the team.

If your client is reluctant to do this themselves for whatever reason you have two options:

  1. Masquerade as one of the Team's managers and issue the invitation yourself.
  2. You can bypass the invitation and force a user to be added as a team member

To force a user into a team they must already be registered for Asset TV. If they haven't then this will need to be done before you can manually add them.

If you need to user option 2 from the above choices, follow these instructions.

Forcing a member on to a team

  • Once you know the user has been registered you can go to Structure > Entity Types > CPD API > Users.
  • On that page select the "Add User" option.
  • Enter your user's email address (this should autocomplete as you type).
  • Tick the "Activated" checkbox.
  • Enter the team (this should autocomplete as you type).
  • Once done click Save and your user will be a member of that team.
  • Masquerade as the user to ensure they've been added.

Adding a Manager to a team

If the Manager should be in the team as a member (so their CPD is added to the team total) you'll need to follow the above instructions.

Often Team Managers are not included in the Team Totals so you can skip to this section.

To be added as a manager the user will need to be registered to Asset TV. If they are not registered they will need to do this before you can add them.

  • To add a manager go to Structure > Entity Types > CPD API > Teams
  • Find the team you want them added to on the list and click edit.
  • On the edit page you'll see the list of managers. There should be an empty field at the bottom for you to enter your user, if not click "Add Another Item" which will add the field (also useful to add more than one manager at a time).
  • Enter the email address of the person you want to add - it will autofill but there may be a delay in this showing up due to the amount of users it needs to filter through.
  • Once you've entered the email click Save and you're done.
  • Always masquerade as the user to test that the settings have been applied before going back to your client.
